How to Migrate From Other Systems to ClearCRM

This article explains the CSV Mapping in Utilities, and how to import a mapped CSV file.

Migrating to ClearCRM from another platform or importing a large dataset? The CSV Mapping tool makes it easy to bring your leads, customers, products, and even staff data into ClearCRM—accurately and with full control.

This guide walks you through the entire process, step-by-step.


Where to Access the CSV Mapping Tool

  1. Go to the Utilities in the sidebar.

  2. Expand the Import Mapping section.

  3. Click on CSV Mapping.


Step 1: Upload Your CSV File

Start by uploading the CSV file you want to import:

  • Click Upload CSV File.

  • Select the file from your computer (e.g., an export from HubSpot, Salesforce, Excel, etc.).

  • You'll see the file name appear under Select CSV File To Map.


Step 2: Choose the Type of Data to Map

ClearCRM allows you to import data into different areas. Choose one of the following base types before you begin mapping:

  • Leads

  • Customers

  • Products

  • Expenses

  • Staff

Once selected, click Start Mapping.


Step 3: Map Your Columns

You'll now see the Mapping Interface:

  • On the left, you'll see standard fields used in ClearCRM (like Name, Email, Phone, etc.).

  • On the right, use the dropdown menus to select the matching column from your CSV file.

Tip: Make sure all required fields are mapped correctly for a successful import.


Step 4: Download and Continue

After mapping, scroll down to the bottom of the page. You'll have two options:

  • Download Mapped CSV – Save the mapped file for review or later use.

  • Download & Redirect to Import – Save the file and move directly to the relevant import screen.


Step 5: Complete the Import

Based on your selected data type, you'll be redirected to the corresponding Import page:

Example: Importing Leads

You'll be able to:

  • Assign a Lead Source (e.g., , Website, Referral).

  • Set a Lead Status (e.g., New, Qualified, Contacted).

  • Preview the import to review data.

  • Click Import to finalize.

The same approach applies to other areas like Customers or Products, with relevant options on their respective import pages.
