What are Estimates in ClearCRM?
Estimates in ClearCRM are formal price quotes you can send to potential or existing customers. They outline the services or products offered, along with associated costs, before moving to a signed proposal or contract.
They're an essential part of the B2B sales workflow, giving your clients clarity and control—while giving you the ability to track interest and close deals faster.
When to Use an Estimate
Use Estimates when:
A customer or lead asks for a detailed quote
You need internal pricing approval before committing
You want to keep a clean sales record of offers made before converting into revenue
Estimates can follow an Estimate Request submitted via a form, or they can be created manually from the Sales.
How to View and Track Estimates
Navigate to Sales > Estimates to see all estimates in your system.
Each entry includes the estimate number, amount, tax, customer, project, status (e.g., Draft, Sent, Accepted, Expired), and important dates. You can use filters and the search bar to narrow results quickly.
Creating a New Estimate
Click Create New Estimate to begin.
Select a customer (and optional project).
Enter or confirm billing/shipping details.
Set the Estimate Number, Date, and Expiry Date.
Fill in tags, status, reference numbers, currency, discount types, and any internal notes.
Add line items by selecting a product/service, then entering quantity, rate, and applicable taxes.
Totals calculate automatically. You can also apply discounts or adjustments.
(Optional) Add client notes and terms at the bottom.
Click Save.
Sending the Estimate
After saving, open the estimate, click Send, and choose your method (email, PDF, link).
Your client will receive a professional estimate with an option to accept or decline it online.
Estimate Statuses Explained
Draft: Not yet sent
Sent: Delivered to client
Accepted: Client approved it
Declined: Client rejected
Expired: Passed expiry date
Status changes automatically based on client interaction or manually if needed.
