Learn how to Create and Manage Invoices

In ClearCRM, invoices are more than just documents—they represent a formal request for payment and typically mark the final stage of your sales journey.

Where Invoices Fit

An invoice usually follows:

  • An Estimate (your initial cost outline)

  • A Proposal (a formal offer)

  • A Contract (a signed agreement)

You don’t have to follow every step, but when you do, invoices help you neatly close the loop and get paid.

Navigating to Invoices

From the left-hand navigation menu, go to Sales > Invoices. This brings you to a clean, searchable table of your issued invoices.

The table includes:

  • Invoice Number

  • Total Amount

  • Tax Amount

  • Issue Date and Due Date

  • Customer

  • Related Project

  • Status (Paid, Unpaid, Partially Paid, Overdue, Draft)

You can also:

  • Search, filter, or bulk export invoices as PDF using the toolbar

Creating a New Invoice

Click New Invoice to open the invoice creation page. From here, you can:

  1. Select a customer from your CRM

  2. Assign an invoice number

  3. Set issue and due dates

  4. Add line items—these could be products, services, hours worked, or any other billable items

When you're done:

  • Save as Draft if you need to review later

  • Save and Send immediately or schedule it for later

Why It Matters

Every invoice you send contributes to a detailed financial history with your customer. It also:

  • Keeps your billing process transparent

  • Ensures team visibility into what’s been invoiced and what’s still pending

  • Helps your accounting stay clean and organized

Invoices are more than paperwork—they’re your final, professional step in turning opportunities into revenue.
