How to Collaborate Better with Team Chat

Keep your internal teams aligned and informed with real-time messaging, group chats, and quick record mentions.

Team Chat in ClearCRM is your internal messaging hub—perfect for staying in sync with teammates, managing projects, and reducing back-and-forth emails.

Step 1: Open the Team Chat

  • From the left-hand navigation, go to Projects > Team Chat.

You’ll land on the chat page, which has three tabs:

  • Team – One-on-one chats with individual teammates

  • Groups – Shared spaces with selected team members

  • Customers – For customer communication (covered in the Service section)

Step 2: Find the Right Person or Group

  • Use the search bar to quickly locate teammates.

  • Use the Filter button to view only Online, Offline, or Unread conversations.

  • Stick with All if you want the full list.

Step 3: Use the Create Events Button

Click the Create Event button to open up three powerful options:

  • Announcement – Broadcast messages to selected teammates

    • Choose recipients, type your message, and send

  • Create Group – Build a dedicated chat group for a team, project, or topic

    • Name the group and select members

  • Quick Mention – Link to CRM records directly from chat

    • Mention things like leads, deals, projects, or proposals

Step 4: Use Mentions to Share Context

Inside any chat, you can insert direct mentions of CRM records:

  • Click Quick Mention, select the type (e.g., Project), and pick the specific item.

  • The mention becomes a clickable link your teammates can follow to jump directly into the relevant record.
