Where to Find It
Go to the left-hand navigation and click:
Setup → Settings → Email tab
This is where you’ll enter your SMTP credentials — the technical info ClearCRM needs to send emails from your own address.
What to Fill Out
Here’s a quick overview of the fields you’ll see and what they mean:
Field | Description |
Mail Engine | Leave this as |
Email Protocol | Select |
Encryption | Choose |
SMTP Host | Your provider’s server address. For Gmail: |
SMTP Port | Typically |
The email address you want to send from | |
SMTP Username | Usually the same as the email |
SMTP Password | Special instructions apply for Gmail users — see below |
Optional fields | BCC address, email signature, character set, etc. |
⚠️ Special Note for Gmail Users
If you're using a Gmail address, do not enter your regular password. Google no longer supports basic authentication for external apps like ClearCRM.
Instead, you’ll need to generate a secure App Password. Here’s how:
Make sure 2-Step Verification is enabled on your Google account.
Go to this link: https://myaccount.google.com/apppasswords
In the App Name field, type something like “ClearCRM” to distinguish easier.
Then click on Create.
Google will give you a 16-digit App Password.
Copy that password and paste it into the SMTP Password field in ClearCRM.
You only need to do this once, and it helps keep your Gmail account secure.
Save and Test
Once all the fields are filled out, scroll down and click Save Changes.
You can also try sending a test email to make sure everything’s working. If you see a success message at the top right, you’re good to go!
What Happens Next?
Once your SMTP settings are active, ClearCRM can start sending emails from your address — including:
