Overview
This short walkthrough covers a complete sales flow, from importing leads to invoicing a finished project. If you're wondering how ClearCRM helps your business actually make money, this is the perfect place to start.
Step 1: Import Leads into the CRM
Start by bringing in your list of leads — whether it’s from an Excel sheet, a webinar sign-up, or a trade show.
Go to the Leads section and click Import Leads
Upload your file
Choose a status and source for the leads
Click Import
You can view leads in List View, you can also switch to Kanban View for a visual pipeline.
Step 2: Manage Your Pipeline with Kanban View
The Kanban view lets you easily track where each lead is in your sales journey.
Drag and drop cards to move leads through different stages
This keeps your team aligned and your pipeline transparent
Click on a lead card to view and manage their details.
Step 3: View and Enrich Lead Details
Each lead profile includes:
Editable contact info
Tabs for Proposals, Tasks, Attachments, Notes, Reminders, and more
A full Activity Log of interactions
This gives you a complete picture before making a move.
Step 4: Convert a Lead to a Customer
When a lead is ready to purchase:
Click Convert to Customer
Fill out any mandatory fields
Click Save
All prior lead information is preserved — now linked to a customer profile you can build from.
Step 5: Manage Work with Linked Projects
From the Customer Details page, you can create and manage:
Projects
Tasks
Estimates
Contracts
And more
Let’s say you create a new project for this customer. You can break it down into tasks and assign them to your team.
Step 6: Log Time with Timesheets
As work gets done, track progress using Timesheets under each task. This helps with accurate billing later.
Step 7: Invoice the Customer
Once the project is complete:
Click Invoice Project
Choose your billing preferences
Select billable items (pulled automatically from project data)
Click Save or Save & Send
