Managing projects often involves repeating the same structure of tasks, milestones, and files across different clients or initiatives. With Project Templates, you can save time by creating reusable blueprints that make starting new projects effortless.
Where to Find Project Templates
You’ll find Project Templates in the Projects section of the left-hand navigation menu, right alongside Projects List, Tasks, and Task Templates.
From here, you can:
View all your existing templates in Cards view or List view (switch between them at the top).
Search for templates using the search bar on the right-hand side.
Creating and Managing Project Templates
How to create a Project Template
There are a few ways to create templates in ClearCRM:
Create a template from scratch – start with a blank slate and define all the milestones, tasks, and details yourself.
Save an existing project as a template – if you’ve already set up a project and want to reuse its structure, you can turn it into a template for other team members.
System templates (coming soon) – later, we’ll be introducing pre-built templates based on well-curated industry best practices. These will help you get up and running even faster.
Managing Templates
Once created, templates live in your Project Templates page, where you can:
Browse existing templates your team has saved.
Quickly duplicate them into new projects.
Edit and refine templates to keep them up to date with your evolving processes.
You can add a cover image to any template, choosing from files uploaded inside that template. This makes it easier to visually distinguish templates at a glance.
Each template card comes with quick actions:
👁 Preview/Overview: Click the image, template name, or the eye icon to open a quick view pop-up.
📑 Details: Click the icon next to the eye to open the full details portal for that template.
🗑 Delete: Remove the template if you no longer need it.
Using a Project Template
Once you’ve created templates, you can spin up new projects from them instantly:
From any template card, click Use Template.
Or, click the Create Project From Template button above your list and choose from your saved templates.
This ensures every new project starts with a consistent structure, saving your team setup time and reducing errors.
Example: Project Template 1
In the screenshot above, you can see a sample template card named Project Template 1. This is a simple demonstration template containing tasks, milestones, and files. You can build templates for any kind of project — for example:
