How to Create a Segment and Run a Campaign

Create a marketing campaign that automatically triggers based on lead conditions using segments.

Segments in ClearCRM let you group leads based on specific conditions, so you can run targeted campaigns without sorting through your entire database.

For example, you can automatically move all new leads into a “New Lead” segment and immediately start a campaign that sends them an email and updates their status.


Step 1: Create a Segment

  1. Expand Marketing in left-hand menu and go to Marketing Segments page.

  2. Click New Segment and give it a name (e.g. New Lead) and choose its category in the Details tab..

  3. Switch to the Filters tab and add your filters to define who qualifies for this segment. For example:

    • Lead Status = New

    • Source = Web Form

    • Country = United States

  4. Choose whether conditions should match using AND or OR logic.

  5. You can select Leads or Customers to decide whom the filters will apply to.

  6. Save the segment.


Step 2: Create a Campaign Based on the Segment

  1. Go to Automation Builder from the Marketing menu and click Add new Campaign.

  2. Fill in mandatory fields like Name and Category, and click Save.

  3. Set a trigger for your campaign on its Workflow tab:

    • When a lead enters a segment → select the segment you just created (e.g. New Lead).

  4. Add actions to define what happens next. For example:

    • Send an email (choose your email template).

    • Update Lead Status → change from New to Contacted.

    • Update Tags → add a tag like Contacted.


Step 3: Test and Monitor

  • Add a test lead that fits the conditions (e.g. Lead Status = New).

  • When the campaign runs, you’ll see the test lead receive the email, its status updated to Contacted, and the new tag applied.

  • After 10 minutes (or your campaign’s run interval), all matching leads will be updated automatically.
